Voice Notes Lab (“we,” “our,” or “us”) operates the Voice Notes Lab mobile application and related services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our app. Please read it carefully.

1. Information We Collect

Account and profile. When you create an account, we collect your email address, name (if you provide it), and authentication credentials. This information is used to provide and secure your account and to sync your data across devices.

Voice notes and content. Your recordings, transcripts, summaries, action points, categories, folders, and any text you add (e.g., note titles) are stored to provide the core functionality of the app, including organization, search, and cross-device sync.

Usage and product data. We collect usage and product analytics (e.g., onboarding steps, recording usage, feature usage, sign-out, appearance settings, feedback submissions) to improve reliability and product decisions. This may include device type, platform, and app version.

Feedback. If you submit feedback (e.g., feature requests or bug reports), we may receive your message, email, device details, and app version to understand and follow up on issues.

Crash and error reports. We use third-party services (e.g., Sentry) to collect crash and error reports to fix bugs. These reports may include technical data but we do not intentionally include personal content.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Voice Notes Lab app and services
• Transcribe your audio and generate summaries and action points using our infrastructure and processing providers
• Sync your notes, folders, and preferences across your devices
• Respond to your feedback and support requests
• Analyze usage to improve performance, reliability, and product design
• Comply with applicable law and protect our rights and users’ safety

3. Audio and AI Processing

When you record or upload audio, that audio is sent to our infrastructure and to processing providers (e.g., for transcription). Transcripts and other AI-generated content (summaries, key points, categories) are derived from your content. We do not use your voice or note content for advertising or to train third-party marketing models. For especially sensitive information, consider whether you are comfortable having it processed for transcription and AI features.

4. Data Sharing and Disclosure

We may share your information only in the following circumstances:

• Service providers. With vendors that help us operate the app (e.g., hosting, transcription, analytics, error reporting), under contracts that limit their use to providing services to us.
• Legal. When required by law, court order, or government request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
• Business transfer. In connection with a merger, sale, or other transfer of assets, with notice and continued protection of your data as described in this policy.

We do not sell your personal information or voice recordings.

5. Data Retention and Your Choices

We retain your account and note data for as long as your account is active. You can sign out at any time. Deleting notes removes them from your workspace. You can delete your account and associated data through the app or by contacting us (see Support).

You may be able to limit or disable analytics or crash reporting through your device or app settings where we make such options available.

6. Security

We use industry-standard measures to protect your data in transit and at rest. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

7. Children

Our services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us so we can delete it.

8. International Transfers

Your information may be processed in countries other than your own. We take steps to ensure that your data is treated in accordance with applicable law and this policy.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the app and/or on our website and updating the “Last updated” date. Your continued use of the app after changes constitutes acceptance of the updated policy.
